Hosting Seminars
All seminar speakers invited/hosted by JBEI must be coordinated ahead of time through Jasmine Ario - including those that fall outside of the Wednesday JBEI Seminar Series. The only exception is speakers brought in for interviews who will be coordinated by the appropriate support staff member.
Speakers/hosts who are not coordinated in the manner outlined below will not receive any support.
Support is identified as:
travel reimbursement
seminar email announcements
posters
audio visual support
access to the building
on-site parking
Steps to follow:
Contact Jasmine via email for available dates.
Email your guest and cc: Sara Harmon and Jasmine Ario, inviting them to speak @ JBEI and apprise them of the available dates if they're not restricted by certain travel dates (already attending a conference or meeting in the area). Within the email, you're welcome to share any relevant information with them to help them decide to accept your invitation. This may include information about the work being done at JBEI and how their talk would benefit the researchers and perhaps even prove useful as a future collaboration. Indicate if you would like them to meet with our staff for discussion while visiting. However, within the context of the email, do not ask for the speaker's talk title, abstract, and bio. There is a form that the speaker will complete that gathers all of these details and more!
JBEI cannot make the following commitments to speakers. If these requests are made, please inform the speaker that we are not able to provide them:
Honorariums
Meetings with senior management (i.e. Jay Keasling & Blake Simmons).
Lunch paid by JBEI/DOE funds - the host will be responsible for lunch
Once the speaker has selected one of the dates provided, Jasmine will send them a confirmation email. She will work directly with the speaker to obtain all of the necessary information to facilitate their talk, as well as work with the host to schedule tours and group or individual discussions.
If travel (airfare & lodging ) has been approved by the Division VP, the operations travel coordinator will work with the guest to arrange authorization etc…
